Job Requirements

  • Current, valid California driver's license and clean driving record
  • ability to remain stationary for extended periods while operating computer and telephone
  • ability to move about the office to access files, supplies, and equipment
  • ability to lift and carry up to 20 pounds occasionally
  • ability to bend, reach, and perform light cleaning duties
  • visual acuity to read documents, computer screens, and visitor identification
  • auditory ability to hear and respond to phone calls and verbal communications

Job Duties

  • Greet and welcome visitors in a professional and courteous manner
  • determine the nature of visitors' business and direct them to the appropriate person or department
  • maintain visitor logs, issue visitor badges, and follow security protocols
  • answer, screen, and route incoming calls promptly and courteously
  • take accurate messages and deliver them in a timely manner
  • provide basic information to callers regarding company products, services, and procedures
  • maintain a clean, organized, and professional reception area
  • receive, sort, and distribute incoming mail, packages, and deliveries
  • prepare and send outgoing mail and packages
  • assist with basic data entry, filing, copying, scanning, and document preparation
  • provide general administrative support to other departments as needed
  • manage conference room reservations and assist with meeting arrangements
  • schedule appointments and maintain calendars for designated staff or departments
  • monitor and order office supplies for the front desk and common areas
  • coordinate with vendors for office equipment maintenance
  • perform light office cleaning duties
  • follow all company policies and procedures including safety and security protocols
  • handle confidential or sensitive information with discretion
  • provide administrative support to the Human Resources department with routine HR tasks and projects
  • assist with maintaining employee records
  • support onboarding logistics for new hires
  • assist with uploading employee information within HR systems
  • support internal communications by distributing HR announcements
  • assist with maintaining the employee recognition platform
  • run and export reports from the recognition platform
  • provide logistical support for employee engagement initiatives
  • perform other HR administrative duties as assigned
