Job Qualifications
- One to two years of experience in administrative support, operations, office services, facilities, event planning, or related customer service or hospitality experience
- High school diploma or GED required, associate degree preferred
- Professional written and verbal communication skills
- Ability to work independently and as part of a team
- Strong organizational and problem-solving skills
- Ability to build connections across stakeholders
- High levels of customer service and sensitivity
- Ability to prioritize multiple tasks
- Meticulous attention to detail
- Proficiency in Microsoft Word, Excel, and PowerPoint
- Ability to lift 15 pounds regularly and occasionally up to 50 pounds with assistance
- Ability to stand, walk, and work on feet for several hours daily
- Flexibility to work outside routine hours when needed
- Commitment to in-office presence five days per week
Job Duties
- Serve as a point of contact and coordinator for office requests such as meeting setup and supply management
- Greet and register clients, recruits, applicants, vendors, temps, staff from other offices, and visitors at the reception
- Provide general information to visitors, callers, and Bain staff while adhering to policies
- Operate the office switchboard during business hours
- Maintain access control systems including badge issuance and responding to alarms
- Coordinate catering orders for meetings and events, tracking attendance and costs
- Assist with maintenance and cleaning service requests through building engineers and vendors
- Coordinate with building security for visitor access and deliveries
- Maintain office calendar, communication distribution lists, and directories
- Arrange shipping and receiving of packages with local couriers
- Host visiting Bain staff by managing office space, conference room setup, and equipment
- Assist with special events, meetings, and recruiting functions
- Support evacuation procedures with the office response team
- Train administrative staff on reception etiquette and phone service
- Maintain effective working relationships with others
- Keep various office lists, calendars, and documents current
- Prepare special reports and updates as needed
- Monitor building needs and manage installation and maintenance requests
- Serve as back-up for core office services functions during absences
- Perform other related duties as assigned
