Job Duties
- Providing customer service by greeting and assisting internal and external customers and clients in-person and over the phone
- Communicating on the phone and in person using tact and discretion to establish rapport with the public
- Answering incoming calls on multi-lined telephone, responding to questions and routing calls appropriately
- Notifying employees of incoming calls
- Greeting job applicants and referring to appropriate resource
- Announcing visitors to appropriate individuals
- Opening and sorting daily incoming mail
- Processing all outgoing mail and delivering to mailbox before end of day
- Maintaining postage machine account
- Distributing magazine and newspaper subscriptions
- Coordinating courier services and preparing and receiving UPS shipments
- Notifying employees when packages or deliveries arrive
- Stuffing and labeling mailers and communications as requested
- Ordering general office and cleaning supplies for employees and coordinating with office supply vendors
- Maintaining supply of toner for all business machines in office and field
- Recycling office and field toner and ink
- Maintaining and distributing safety supply inventory such as personal protective equipment and jobsite signs
- Coordinating first aid vendor service
- Keeping annex room clean and organized
- Assisting with assembly and distribution of required jobsite postings
- Maintaining and updating office extension list
- Reconciling invoices for UPS, courier services, and office supplies
- Performing light housekeeping including cleaning refrigerators and keeping office tidy
- Watering lobby plants
- Other duties as assigned
