Job Requirements

  • High school diploma or equivalent
  • Job-related experience with increasing responsibility is desired
  • Must possess valid Arizona DPS Level One IVP Fingerprint Clearance Card prior to processing
  • Ability to operate telecommunication systems and office equipment
  • Ability to perform basic arithmetic and understand technical instructions
  • Capacity to maintain accuracy in record keeping
  • Physical ability to stand, walk, and handle light materials
  • Effective interpersonal and communication skills
  • Ability to work under routine conditions with limited discretion
  • Availability to work 8-hour days with split receptionist and office assistant duties

Job Qualifications

  • High school diploma or equivalent
  • Experience in office or clerical work preferred, especially in education
  • Ability to manage a multi-line phone system
  • Strong organizational skills
  • Basic proficiency with office equipment and software
  • Excellent communication and interpersonal skills
  • Ability to handle confidential information responsibly
  • Customer service orientation
  • Familiarity with special education office functions is a plus

Job Duties

  • Answers multiline telecommunication system for screening calls, transferring calls, responding to inquiries and/or taking messages
  • Distributes items within the site such as mail, supplies, and messages for dissemination
  • Evaluates situations involving staff, students, parents, the public, or police to take appropriate action or referral
  • Greets public, parents, students, and vendors, responding to inquiries or directing them to personnel
  • Maintains records like calendars, logs, inventory, substitute folders, and requisitions for accuracy and compliance
  • Performs general clerical functions including scheduling, copying, faxing, and mailings
  • Prepares written materials such as logs, reports, memos, and emails for documenting activities
  • Responds to staff, public, parents, and student inquiries to identify appropriate contacts
  • Schedules activities including visits, meetings, staff coverage, and facilities usage
