Job Requirements

  • High school diploma or equivalent
  • previous office experience with a focus on clerical or administrative duties
  • proven experience in customer service roles, especially in medical or dental reception settings preferred
  • strong organizational skills with the ability to multitask effectively in a fast-paced environment
  • demonstrated proficiency in computer literacy including Microsoft Office, Google Workspace, data entry, and office management software such as QuickBooks
  • excellent phone etiquette and interpersonal skills
  • personal assistant or medical receptionist experience is a plus
  • positive attitude with a commitment to providing exceptional service
  • bilingual abilities highly valued
  • ability to work independently and as a part of a team
  • adaptable and reliable with proven problem solving

Job Duties

  • Answer the phones and transfer calls
  • greet all walk-in visitors
  • maintain up-to-date and accurate employee records including personal information, certifications, classifications, birthdays, work anniversaries and other milestones
  • provide leadership with timely and accurate information on upcoming employee milestones via email daily
  • oversee the office calendar and manage all employee time-off requests
  • manage internal programs such as the Safety Bucks program - manage costs, monitor expenditures, and identify cost improvement opportunities
  • manage office supplies and company swag budgets
