Job Requirements

  • knowledge of mailroom procedures and postal regulations
  • ability to operate postal processing equipment

  • good English usage, spelling, grammar, and punctuation

Job Duties

  • Answer all calls and provide prompt, courteous, and accurate service
  • screen calls to determine proper destination
  • make station connections
  • take messages and relay information promptly
  • handle emergency calls and procedures in accordance with established policies and procedures
  • monitor the emergency radio as necessary
  • greet general public, students, and staff at the counter
  • provide directions and appropriate general information
  • ensure that the counter is equipped with relevant informational newsletters, maps, and related items
  • maintain related calendar of activities and schedules
  • receive, sort, distribute, and deliver outgoing, incoming, and interoffice mail
  • process outgoing mail including weighing, metering, and affixing correct postage
  • accept all postal deliveries including special and registered mail
  • assist and advise staff with mail regulations, preparation, and costs
  • maintain various records related to postal and mail accounts
  • set up and assign mailboxes to staff as needed
  • distribute communication materials to staff
  • oversee and operate assigned office equipment including production copier and fax machines
  • order and maintain office supplies including postal machine and shipping supplies
  • operate, clean, and perform minor adjustments on office equipment
  • assist staff in setting up voicemail and phone issues
  • accept paperwork from clients and distribute to staff mailboxes
  • assign parking permits and distribute parking passes
  • issue copy codes to new staff and maintain user code listing
  • assist in auditing bills related to telephone, shipping, and postage
  • send out class schedules and college catalogs
  • type simple materials including staff listings and memoranda
  • maintain necessary files, records, and statistics for mailroom and equipment
  • perform related clerical tasks as assigned
