Job Requirements

  • Valid New York State driver's license
  • must be able to lift and move objects up to 50 lb
  • must be able to use a keyboard and sit for long periods
  • high school diploma or equivalent
  • minimum of 2 years of relevant reception experience
  • ability to maintain confidentiality and professionalism
  • strong multitasking skills and attention to detail

Job Qualifications

  • High school diploma or equivalent
  • minimum of 2 years of experience in a busy reception or front-office environment
  • experience in healthcare or behavioral health setting preferred but not required
  • prior experience providing administrative support or covering for an office administrative assistant preferred
  • excellent verbal and written communication skills
  • strong interpersonal and customer service skills
  • exceptional organizational skills and attention to detail
  • proficiency with Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and general office software

Job Duties

  • Greet clients, visitors, and staff in a professional, courteous, and respectful manner
  • answer, screen, and route incoming phone calls
  • maintain a clean, organized, and welcoming reception area
  • schedule appointments and meetings as requested
  • manage high-volume phone and foot traffic while maintaining confidentiality and professionalism
  • perform other general front-desk administrative tasks assigned
  • assist with client check-in and check-out processes
  • coordinate client flow with clinic staff
  • follow clinic protocols related to privacy, safety, and HIPAA compliance
  • maintain accurate client records
  • provide coverage and support for the Main Office Administrative Assistant
  • assist the Executive Director and administrative leadership as requested
  • organize and support main office meetings and events
  • sort and distribute incoming mail
  • apply postage to outgoing mail
  • manage office equipment
  • distribute faxes and assign mailboxes
  • prepare receipts for agency receivables and provide weekly reports
  • stock kitchen supplies throughout the day
  • participate in cross-training for agency billing functions
  • assist with basic billing-related administrative tasks
  • maintain confidentiality and accuracy with billing information
