Job Requirements
- High school diploma or equivalent
- prior experience in a receptionist or administrative support role preferred
- ability to manage multiple phone lines and handle visitors professionally
- excellent communication skills both verbal and written
- strong organizational skills
- ability to multitask and prioritize work effectively
- proficiency with office software and basic office equipment
Job Qualifications
- Proficiency in Microsoft Office Suite
- experience with office equipment such as fax machines, printers, copiers, and postage machines preferred
- demonstrates professional conduct
- strong communicative abilities
- maintains an approachable demeanor while delivering high-quality customer service
- strong multi-tasking and time-management skills
Job Duties
- Professionally and warmly greet visitors and employees at the main entrance
- answer multiple incoming phone lines
- manage and maintain visitor log
- maintain clean, professional and organized front office
- create and issue visitor and employee badges as needed
- assist with coordination of visitor/employee travel including booking flights, reserving hotels, arranging car rentals and shuttle rides
- assist with end-to-end event planning, including catering requests, logistical coordination, office relocations, conference room setup, and reservation management
- manage work order submissions and updates to floor plan databases
- ensure regular monitoring and maintenance of office inventory levels, placing orders as needed
- manage FedEx and other incoming/outgoing mail requests through the office mailroom
- track office expenses, review and submit invoices for payment
- assist with record retention accounting
- assist as needed with facility-related requests including deliveries and interoffice move requests
- perform various clerical duties including filing, typing correspondences, mailing, replying to emails, booking conference rooms, and assisting with travel arrangements
