Job Duties
- Greeting and assisting visitors, directing them to the appropriate person or department
- answer and transfer incoming calls promptly and courteously
- take and deliver accurate messages as needed
- manage the front desk and serve as the first point of contact
- receive, sort, process, and distribute all incoming and outgoing mail, faxes, and packages
- maintain and manage office supply inventory and mailing supplies, including ordering, stocking, and accurate recordkeeping
- track and document supply usage and mail distribution to support cost control and efficiency
- provide general clerical and administrative support to the President, accounting department and other areas as needed
- ensure reception, lounge, kitchen, and all corporate office common areas are clean, organized, well-stocked, and maintained in a neat and professional manner
- manage and update conference room calendars
- coordinate and schedule meetings as requested
- mail all AP checks weekly as well as weekly AP check run ACHs
- review, verify and post Toolroom inventory tickets
- enter and post all Waterworks and Gas Front invoices
- scan and file all AR invoices weekly received from the Billing and AR Specialist
- maintain confidentiality of company, vendor, and employee information at all times
- perform other duties and assignments as directed by department leadership
