Job Requirements

  • High school diploma or equivalent
  • Previous experience in a receptionist or administrative role preferred
  • Strong communication and interpersonal skills
  • Ability to operate multi-line phone systems and other office equipment
  • Proficiency in Microsoft Office applications
  • Strong organizational skills and attention to detail
  • Ability to multitask and manage time effectively

Job Qualifications

  • Demonstrates excellent phone etiquette and communication skills
  • Has experience with multi-line phone systems and voicemail transfer
  • Presents a professional demeanor and polished appearance
  • Can multitask and work efficiently in a fast-paced environment
  • Possesses strong organizational and administrative skills
  • Is proficient in Microsoft Word, Excel, email, and general internet use
  • Has familiarity with ten-key and office equipment (copiers, faxes, scanners)

Job Duties

  • Answer and direct all incoming calls and voicemails with professionalism
  • Accurately take messages and route calls to the appropriate department
  • Maintain office supplies for all departments and ensure monthly orders are completed
  • Keep office equipment (copiers, fax machines) stocked with paper and toner
  • Sort and distribute all incoming mail, faxes, and packages
  • Process outgoing mail, including FedEx, certified mail, and other special deliveries
  • Assist with maintaining and auditing personnel and I-9 files, as directed
  • Support the office team with general clerical tasks as needed
