Job Requirements

  • Must possess a high school diploma or equivalent
  • must have at least 2 years experience in a clerical position or successful completion of a secretarial science program from an accredited school or college
  • availability to work Monday through Friday from 4:00 PM to 8:00 PM
  • strong communication skills
  • ability to operate telephone and paging systems
  • ability to handle multiple tasks simultaneously
  • must maintain professionalism and confidentiality
  • ability to interact courteously with public and staff
  • basic computer proficiency
  • dependable and punctual

Job Qualifications

  • High school diploma or equivalent
  • at least 2 years experience in a clerical position or completion of secretarial science program from accredited school or college
  • proficient in operating paging and telephone systems
  • excellent communication and interpersonal skills
  • ability to maintain confidentiality and handle sensitive information
  • strong organizational skills and attention to detail
  • ability to multitask and prioritize duties effectively
  • basic computer skills
  • able to work well independently and as part of a team

Job Duties

  • Promptly answer all incoming calls with proper telephone etiquette
  • receive and follow reception schedule and instructions from supervisor
  • operate paging and telephone system as required
  • answer telephone, determine nature of call and direct caller to appropriate individual or department
  • receive requests from within the facility and locate personnel through paging system
  • receive inquiries and release information in accordance with established policies
  • maintain a current file of residents by name and room number and emergency phone numbers
  • maintain a current listing of critical residents who may not receive phone calls
  • greet visitors and direct to appropriate office or resident's room
  • give directions and information to visitors, guests, residents, sales representatives
  • offer beverages to visitors waiting for administrative personnel
  • monitor presence and location of sales representatives
  • ensure guest visitors abide by rules and refuse admission as directed
  • report suspicious persons or information to supervisor immediately
  • assist with administrative duties including typing, filing and accounts
  • assist department directors with administrative matters such as typing reports and correspondence
  • field accurate and complete phone messages and ensure delivery
  • distribute and accept job applications
  • receive supplies and shipments and alert appointment department for pick-up
  • maintain the resident visitor check-in and check-out system and retain records
  • receive, sort and distribute mail
  • operate copier and other office machines as directed
  • operate computer as directed
  • post daily census
  • assist in preparation of mailing monthly statements
  • monitor residents leaving through front doors and report to charge nurses
  • audit new residents' charts for accuracy
  • audit medication and treatment records weekly for completion and nurse's signatures
  • audit intake and output records weekly for completion
