Job Requirements

  • High school diploma
  • one year of administrative experience
  • must pass a pre-employment screen including drug and alcohol screen background check motor vehicle records check reference check physical if applicable
  • current and valid driver’s license in the state of permanent residence
  • must be insurable by Jaynes automobile insurance carrier to drive company or personal vehicle for company purposes

Job Qualifications

  • One plus years of relevant experience
  • positive attitude and willingness to take on additional responsibilities
  • working knowledge of computers and other office equipment including experience with Microsoft Office Suite a multi-line phone system emailing scanning and adaptable to web based program tracking
  • strong ability to organize and prioritize
  • excellent written and verbal communication skills
  • excellent writing editing and proof-reading ability
  • professional confident and welcoming manner

Job Duties

  • Answers telephones and directs the caller to the appropriate employee with a friendly welcoming and courteous tone
  • greets and directs visitors to the company
  • takes and retrieves messages for various personnel
  • provides callers with information such as company address directions to the company location company fax numbers company website project manager names and phone numbers where to send bids for submittal and other related information
  • receives sorts and forwards incoming mail
  • coordinates the pick-up and delivery of express mail services such as FedEx and UPS
  • assists in the ordering receiving stocking and distribution of office supplies
  • assists with other related clerical duties such as verifying certified payroll from subcontractors assisting project management with document tracking
