Job Requirements
- High school diploma
- one year of administrative experience
- must pass a pre-employment screen including drug and alcohol screen, background check, motor vehicle records check, reference check and physical if applicable
- current and valid drivers license in the state of permanent residence
- must be insurable by Jayne's automobile insurance carrier to drive a Jayne's vehicle or a personal vehicle for company purposes
- legal authorization to work in the United States
- ability to remain seated or standing for extended periods
- ability to use standard office equipment including computers, telephones and printers
- ability to manage multiple tasks in a fast-paced setting
- ability to communicate clearly and professionally in person and over the phone
- ability to lift light office materials typically up to 10-15 pounds
Job Qualifications
- 1+ years of relevant experience
- positive attitude and willingness to take on additional responsibilities
- working knowledge of computers and other office equipment including experience with Microsoft Office Suite, a multi-line phone system, emailing, scanning, and adaptable to web based program tracking
- strong ability to organize and prioritize
- excellent written and verbal communication skills
- excellent writing, editing and proof-reading ability
- professional, confident and welcoming manner
Job Duties
- Answers telephones and directs the caller to the appropriate employee with a friendly, welcoming and courteous tone
- greets and directs visitors to the company
- takes and retrieves messages for various personnel
- provides callers with information such as company address, directions to the company location, company fax numbers, company website, project manager names and phone numbers, where to send bids for submittal and other related information
- receives, sorts and forwards incoming mail
- coordinates the pick-up and delivery of express mail services such as FedEx and UPS
- assists in the ordering, receiving, stocking and distribution of office supplies
- assists with other related clerical duties such as verifying certified payroll from subcontractors and assisting project management with document tracking
