Job Requirements

  • High school diploma or equivalent education or work experience
  • minimum one year relevant work experience in administration, reception, or customer service
  • ability to work as a team member
  • experience working with diverse communities and cultures
  • well-organized, reliable, professional, detail oriented and flexible
  • ability to work independently and manage multiple tasks
  • resourceful and proactive problem-solving skills
  • clear and friendly phone communication
  • friendly and welcoming in-person greeting
  • proficiency with Microsoft Office programs
  • fluency in spoken English
  • bilingual skills a plus

Job Qualifications

Job Duties

  • Greet visitors and ascertain their needs
  • answer basic questions and direct visitors to appropriate staff or departments
  • manage flow of visitors during peak periods
  • treat all staff, clients and guests with respect, professionalism, kindness and dignity
  • perform cashiering duties
  • answer and direct incoming telephone calls
  • refer inquiries to appropriate staff
  • make appointments and conduct follow-up calls
  • manage voicemail system and send messages to staff
  • ensure client check-in and provide programmatic support
  • provide referrals and information on IRC programs and services
  • maintain and tidy lobby, classroom, conference and huddle rooms
  • update front desk processes and bulletin boards
  • maintain office supplies and inform manager when needed
  • provide clients with donation supplies and ensure documentation
  • maintain office equipment and escalate issues
  • receive and distribute mail and packages
  • process and deposit outgoing mail
  • perform other tasks as assigned
