Job Requirements

  • High school diploma or equivalent
  • Previous receptionist or administrative support experience preferred
  • Ability to sit or stand for extended periods
  • Ability to lift up to 15 pounds occasionally
  • Availability to work occasional evening or weekend hours
  • Proficiency in Microsoft Office Suite
  • Strong communication skills
  • Ability to maintain confidentiality and handle sensitive information

Job Qualifications

  • High school diploma or equivalent required
  • Associate's or bachelor's degree in business administration or related field preferred
  • Previous experience in a receptionist or administrative support role preferred
  • Experience in a social services nonprofit or healthcare environment is a plus
  • Strong verbal and written communication skills
  • Proficient in Microsoft Office Suite including Word Excel and Outlook
  • Ability to handle sensitive and confidential information with discretion
  • Exceptional organizational and time management skills
  • Compassionate and youth-focused with the ability to interact with a diverse population
  • Strong multitasking abilities and attention to detail

Job Duties

  • Greet visitors and youth in a professional courteous and welcoming manner
  • Ensure all visitors are logged into the visitor tracking system and directed to the appropriate department or staff member
  • Answer screen and forward phone calls ensuring messages are accurately relayed
  • Maintain and manage the reception area keeping it organized and clean
  • Assist with general administrative tasks such as filing data entry and maintaining office supplies
  • Provide support for scheduling meetings and appointments as needed
  • Assist with incoming and outgoing mail and packages
  • Direct youth to the appropriate services or personnel as needed
  • Answer questions about the organization's programs and services providing information or redirecting youth to the correct resources
  • Provide compassionate and understanding assistance to youth in need respecting confidentiality and privacy
  • Maintain clear communication with staff youth and external partners
  • Relay important messages to the appropriate department or individual in a timely manner
  • Support special projects and events as needed
  • Adhere to all organizational policies including those related to youth privacy and confidentiality
  • Assist in maintaining accurate and up-to-date records for visitors youth and staff
