Job Requirements

  • High school diploma or equivalent
  • Previous experience in a receptionist or customer service role preferred
  • Proficiency in Microsoft Office Suite
  • Excellent interpersonal and communication skills
  • Ability to handle multiple tasks and prioritize effectively
  • Strong organizational skills
  • Ability to maintain a professional and courteous demeanor at all times

  • Tech-savvy with understanding of Microsoft Office software such as Outlook, Excel, and the ability to quickly learn to use new software and office equipment
  • Reliable, punctual, and able to follow directions well

Job Duties

  • Welcomes visitors by greeting them in person or on the telephone, answering or referring to inquiries with a friendly and helpful attitude
  • Handles incoming calls, routes them appropriately, and sends accurate, detailed messages to the intended employee
  • Receives bid requests by phone using the invitation-to-bid form and forwards them to the Project Coordinator
  • Coordinates schedules for various employees by planning on and offsite meetings and by managing conference room reservations for meetings, interviews, onboardings, and more
  • Handles incoming and outgoing mail and packages, occasionally delivering mail to the post office when needed
  • Maintains inventory for the office by ordering and stocking various supplies
  • Keeps the lobby, break room, and conference areas clean, organized, and well-stocked
  • Updates and distributes a company and office contact list
  • Assists other departments such as Construction Division, Construction Management Division, HR, and Accounting as needed
