  • At least HSC or equivalent
  • experience in reception or customer-facing roles
  • proficiency in English and French
  • experience with MS Office
  • strong organisational skills
  • ability to multitask and prioritise
  • good communication skills

Job Qualifications

  • At least HSC or equivalent
  • additional training in administration, customer service or office management is an advantage
  • experience in reception/front-office, administrative support or customer-facing roles in a corporate/professional environment
  • excellent communication skills in English and French, spoken and written
  • proficient in MS Office and collaboration tools
  • able to coordinate logistics in a structured, efficient manner
  • strong organisational skills
  • able to multitask, prioritise and remain calm under pressure

Job Duties

  • Welcome in a warm, professional manner and ensure a smooth check-in experience
  • maintain up-to-date contact lists, internal directories and front-desk procedures
  • manage the reception and office areas to ensure they are organised and aligned with company standards
  • answer, screen and route incoming calls, emails and office visits promptly, professionally and accurately
  • manage visitor registration, access, and meeting room bookings, using digital tools where applicable
  • act as an experience ambassador by providing clear information and support on office facilities, procedures and contacts
  • coordinate the daily transport of staff (routes, timings, service provider liaison) and communicate changes promptly
  • coordinate transport and logistics for corporate events, visits, workshops and internal functions
  • support meeting and event logistics (room setup, and refreshments coordination)
  • capture and escalate facility, security, health & safety or maintenance issues to relevant teams and follow up to resolution
  • provide flexible support on ad-hoc projects and priorities, adapting to a dynamic and evolving environment
