Job Requirements

  • High school diploma or equivalent
  • Minimum of one year previous office experience
  • Valid driver's license and/or reliable transportation
  • Ability to provide coverage at other locations and work Saturday shifts as needed
  • Ability to communicate effectively
  • Must be computer literate
  • Ability to manage multiple priorities
  • Commitment to confidentiality and HIPAA compliance

Job Qualifications

  • High school diploma or equivalent
  • Minimum of one year office experience
  • Experience with Community Mental Health preferred
  • Experience with electronic health records preferred
  • Excellent interpersonal and customer service skills
  • Knowledge of HIPAA and Release of Information laws
  • Strong problem solving and critical thinking skills
  • Ability to enter data accurately
  • Ability to work cooperatively as part of a team
  • Effective communication skills both oral and written
  • Proficient with standard office equipment and Microsoft Office Suite
  • Commitment to personal and professional growth
  • Dedicated to the welfare of children and families

Job Duties

  • Greets all visitors, team members and families with a warm and welcoming demeanor
  • Answers phones, answers questions and/or routes to appropriate team members
  • Accurately take messages and pass them on to applicable staff in a timely manner
  • Request and accept payments and provide receipts for payments
  • Refer consumers to billing for payment arrangements when applicable
  • Processes all money received with cash reconciliation process
  • Forwards to supervisor upon completion
  • Administers, monitors, and collects Quality Assurance Surveys
  • Conducts customer service portion of the Intake with consumers in a thorough and accurate manner
  • Performs tasks specific to opening all new clients within 24 hours of intake
  • Schedules consumers with doctors, confirms appointments
  • Maintains waitlists for psychiatric appointment cancellations and notifies clients of availability
  • Schedules consumers for Outpatient Therapists and documents all attempts and notes
  • Coordinates and communicates with clinicians to manage client requests
  • Works collaboratively with outpatient therapists and other team members
  • Uploads materials in case records timely and accurately
  • Opens and date stamps mail, distributes to appropriate staff
  • Checks consumers in, updates client demographic information in the EHR
  • Types correspondence or reports from written drafts
  • Performs data entry
  • Facilitates records request/release process for behavioral health
  • Cooperates in investigations related to personnel, licensing or accreditation
  • Assists in emergency procedures
  • Attends agency, departmental meetings and trainings
  • Provides role observation opportunities to new employees
  • Performs other reasonably related duties as assigned including coverage at other locations and mandated overtime
