Job Duties

  • presence at the reception desk is a priority
  • greet guests and notify SCA Health teammates of their arrival
  • screen calls, take messages and return phone calls, as appropriate
  • listen to and return any calls left on the answering machine overnight
  • retrieve mail from mail room, sort, and place or scan mail accordingly
  • sign for packages and notify recipients of their arrival
  • receive all UPS and FedEx deliveries
  • maintain clean and tidy common areas
  • verify vendor and visitor sign in
  • check break rooms for supplies and tidiness including replenishing utensils and paper goods
  • restock and reorder coffee and tea as needed
  • keep drink refrigerator stocked for meetings
  • ensure copiers are working properly and maintain adequate supply of copy paper
  • assist office manager with mail room duties, ordering supplies and UPS shipping
  • assist other departments with scanning, filing, shipping as needed
  • assist with creating badges for new hires and coordinate with building security for access needs
  • help with reserving conference rooms and setting up and cleaning up for meetings
  • ensure conference rooms are neat with chairs pushed in and whiteboards clean
  • triage audiovisual support needs for conference rooms and offices
  • act as direct point of contact for building maintenance and housekeeping needs and escalate issues to office manager
  • partner with executive and administrative assistants in running day-to-day office functions
  • support executive assistants with travel and expense report duties
  • may support a senior leader with additional administrative needs
  • engage with senior SCA Health leadership to communicate office-related updates
  • perform other duties as assigned
