Job Qualifications

- experience with a multi-line phone system and high volume of calls and visitor traffic preferred
- bilingual (English/Spanish) preferred
- ability to establish and maintain professional boundaries with clients
- strong customer service skills
- excellent written and verbal communication skills
- highly organized and detail-oriented
- experience managing multiple deadlines and working effectively under pressure
- experience working with a collaborative team
- working knowledge of MS Office (Word, Excel, and Outlook)

Job Duties
- Receives, directs and relays incoming calls, messages and faxes
- answers all incoming calls and handles inquiries in a professional and supportive manner
- redirects calls as appropriate and takes adequate messages when required
- greets, assists and directs clients, residents, and visitors with a smile and in a positive manner, directing individuals to the appropriate staff member
- maintains vigilance and awareness of all activity in the lobby area to ensure client and staff safety
- maintains an accurate filing system for client files and all general correspondence
- performs data entry, including verifying information and resolving discrepancies, in a timely and accurate manner
- enters client information into databases accurately and proficiently
- restricts entry into the reception area to authorized staff and individuals
- provides administrative support to all staff and programs as requested
- sorts and distributes client mail
- provides oversight to the client computer lab
- other duties as assigned by the supervisor
