Job Requirements

  • High school diploma or equivalent
  • minimum 2 years of office experience preferred
  • strong verbal and written communication skills
  • proficiency in Microsoft Word and Excel
  • excellent attention to detail and organizational skills
  • must be a US Person (US citizen, US national, lawful permanent resident, asylee or refugee) due to type of work and access restrictions

Job Duties

  • Answer and direct calls using a multi-line phone system
  • greet and screen visitors using the visitor management system (check-in/check-out)
  • coordinate facility visits including issuing badges, arranging meals, and preparing meeting rooms
  • support the HR department with special projects as assigned
  • manage incoming and outgoing mail including use of postage machine
  • enter change requests and new vendor/customer data into the ERP system
  • request and maintain Certificates of Insurance (COIs)
  • audit weekly check runs for the Finance department
  • scan purchase orders (POs) and change orders (COs) daily
  • prepare reports, binders, mailings, and other materials for various departments
  • perform other duties as assigned
