Job Requirements
- High school diploma or equivalent
- experience operating multi-line phone systems or similar technology
- strong interpersonal and communication skills
- ability to perform well in a fast-paced environment
- attention to detail in record keeping and visitor monitoring
- ability to work the specified part-time schedule of Monday and Friday 4pm-8pm, and Saturday 8am-4pm
- compliance with HIPAA regulations
- ability to respond calmly in emergency situations
- ability to manage multiple tasks and prioritize duties
Job Qualifications

- excellent verbal and written communication skills
- ability to operate multi-line phone systems
- strong organizational and record-keeping capabilities
- proficiency with basic computer applications
- attentive to detail and able to follow policy and procedure
- ability to handle emergency situations calmly
- customer service experience preferred
- ability to maintain confidentiality in compliance with HIPAA
- team player with enthusiastic and positive attitude
Job Duties
- Operate multi-line phone system and answer calls promptly in a polite and friendly manner
- transfer calls to appropriate staff or areas and take accurate messages
- greet and monitor visitors at main entrance, ensure sign-in and badge policy compliance
- monitor emergency situations and direct staff accordingly, call emergency personnel if necessary, utilize overhead paging system
- maintain files of residents’ names, room locations, and reception area records
- keep mailboxes and coat rooms organized and up to date
- maintain leave of absence, memorial service, birthday/anniversary lists and distribute as appropriate
- prepare daily community updates with support from executive assistant and life enrichment team
- comply with HIPAA regulations in all communications
- supervise package and flower deliveries
- assist with typing, reporting, and administrative tasks for various departments
- conduct wellness checks as needed
- notify care staff of resident well-being or safety concerns
- perform other duties as assigned
