Job Requirements

  • High school diploma or equivalent
  • One year of administrative or clerical experience preferred
  • Ability to effectively communicate with diverse populations
  • Basic proficiency with office equipment and telephone systems
  • Customer service skills
  • Ability to handle multiple tasks efficiently
  • Bilingual English/Spanish preferred

Job Duties

  • Answer, screen, and direct calls appropriately using the Switchvox telephone system
  • Greet patrons, employees, visitors, and vendors entering the organization, ensuring to properly screen and log everyone into the visitor sign-in sheet
  • Direct vendors, visitors, participants, and employees from other centers to their correct destinations
  • Provide information regarding agency services and policies, which may require interpretation of rules and policies
  • Prepare various periodic and special reports by gathering information from different sources and compiling data
  • Type correspondence including reports, forms, schedules, and other materials
  • File and archive materials according to an established filing system
  • Use and maintain standard office equipment such as calculators, copy machines, TTY phones, headsets, and computers
  • Assist receptionists at other centers and provide coverage as needed
  • Distribute lunch tickets and maintain a log to be turned in to the Accounting Department
  • Receive and distribute packages from delivery companies
  • Submit facility work orders for repairs
  • Assist mail room clerk in sorting and routing mail
  • Participate in department monthly meetings by providing feedback and written reports
  • Maintain reception area cleanliness and adhere to organizational values and policies
  • Perform other duties as assigned related to the job
