  • Two or more years of related experience
  • Proficient in Microsoft Outlook, Excel, and Word software

Job Duties

  • Perform a variety of routine security and receptionist duties and act as the facilities point of contact
  • Act as a focal point for site information and other site-specific activities as required
  • Answer a multi-line phone and direct callers to the appropriate person or department
  • Update phone lists with frequently called numbers and updated department points of contact as necessary and post near reception desk area
  • Coordinate calendar and make conference room reservations and order and set up catering for meetings as needed
  • Check visually for employee identification badges for all personnel entering a facility
  • Authorize access and issue appropriate badges to employees, visitors, customers, and contractors, ensuring proper escort as needed
  • Answer and respond to service requests from building occupants to building engineers and follow up as needed
  • Receive packages from delivery service and maintain logs of those packages, contact recipients and monitor the distribution of packages or deliveries and secure any deliveries left at the end of the day
  • Order standard office and pantry supplies as requested
  • Create routine spreadsheets as requested
  • Contact vendors for services such as shredding, cleaning, repairs, etc.
  • Update rent reports and floor plans utilizing Space Management software
  • Travel to other local sites (within 10-15 minutes) for training or to assist occasionally
