Job Requirements

  • high school diploma or GED
  • prior office administration experience preferred
  • excellent communication skills
  • knowledge of Microsoft Office applications
  • ability to multi-task and handle details
  • able to respond calmly in emergencies
  • able to work weekdays from 8:00 a.m. to 4:00 p.m.

Job Duties

  • perform reception desk duties on a daily basis including answering multi-line incoming calls
  • direct calls, faxes, messages, and mail to appropriate personnel
  • greet and direct visitors to appropriate staff
  • communicate information professionally and courteously to individuals served, staff, and visitors
  • refer questionable situations to appropriate personnel and communicate concerns with supervisor
  • unlock and lock the building prior to and at the close of business hours including during inclement weather
  • alert personnel and contact 911 in the event of emergencies and assist staff and clients in evacuations
  • record staff absences and time of return, inform supervisors accordingly
  • maintain visitor log
  • assist with administrative duties such as filing, copying, faxing, shredding, typing, distributing mail, maintaining spreadsheets, charts, presentations, forms, mailing labels, databases and documents
  • assist staff with document creation and formatting
  • support HR Generalist with reference calls, alphabetizing, filing, and projects
  • maintain inventory, stock, and place office supply orders
  • manage conference room, conference call lines and schedule meetings
  • maintain office cleanliness
