Job Requirements

  • high school diploma or high school equivalency
  • one year of administrative or clerical office work experience preferred
  • ability to use office equipment including telephones, copy machines, calculators, TTY devices, headsets, and computers
  • excellent communication and interpersonal skills
  • ability to multitask and maintain organization
  • bilingual English/Spanish preferred

Job Duties

  • answer, screen, and direct calls appropriately using the Switchvox telephone system
  • greet patrons, employees, visitors, and vendors, ensuring proper screening and logging into the visitor sign-in sheet
  • direct vendors, visitors, participants, and employees to their correct destinations
  • provide information regarding agency services and policies, requiring interpretation of rules and policies
  • prepare various periodic and special reports by gathering and compiling information
  • type correspondence including reports, forms, and schedules
  • file and archive materials according to established filing systems
  • use and maintain standard office equipment such as calculators, copy machines, TTY phones, headsets, and computers
  • assist other receptionists by providing coverage and updating reception binder
  • distribute lunch tickets and maintain financial logs securely
  • receive and distribute packages from delivery companies
  • submit facility work orders for repairs
  • assist mailroom clerk in mail sorting and routing
  • participate in department meetings by providing feedback and written reports
  • maintain cleanliness and organization of reception area
  • perform other duties as assigned related to job responsibilities
