Job Requirements
- High school diploma or equivalent
- previous experience in administrative or receptionist roles preferred
- excellent verbal and written communication skills
- proficiency in computer applications such as Microsoft Office or similar software
- ability to handle multiple tasks and interruptions gracefully
- courteous and professional demeanor
- knowledge of HIPAA regulations and commitment to confidentiality
- ability to work 12-hour shifts during the day
- availability for approximately 75 to 80 hours per pay period
- ability to stand, bend and walk intermittently during the day
Job Qualifications
- A minimum of high school education is essential
- good communication skills with a polite and cooperative manner towards facility staff and visitors
- ability to make independent decisions when circumstances warrant such action
- ability to remain calm during emergency situations
- ability to follow written and oral instructions

- ability to maintain confidentiality of resident and employee information
Job Duties
- Maintain a well-organized office
- answer phone, screen calls and refer to proper person or department
- be professional, courteous and respectful to anyone entering and leaving the facility and when answering the phone
- provide information to visitors, applicants and give facility tours as requested
- maintain postage meter or comparable service with adequate postage and record keeping involved with the meter
- receive mail, sort and route to appropriate departments
- accept packages and deliveries
- prepare outgoing mail and deliver to post office or mailbox in a timely manner
- maintain and stock general office supplies
- order as needed
- maintain photocopy machine supplies
- contact repair person when needed
- collect and process invoices and obtain approval from Administrator to send to Corporate Accounts Payable
- review Disbursement to ensure payment
- perform general typing duties, to include correspondence, minutes of meetings, etc
- take messages as needed for Administrator when unavailable for calls
- may accept new employment applications and forward to the appropriate Supervisor
- screen personal calls for employees by asking if it is an emergency and inform employee if so, otherwise ask caller to call at home or after work
- general computer keying and filing as needed by Administrator
- attend meetings as assigned by the Administrator to take minutes, type and distribute
- follow all established safety procedures and precautions when operating equipment
- attend and participate in educational in-service classes and on-the-job training programs as directed
- maintain confidentiality of all pertinent resident/employee information to assure rights are protected
- create and maintain an atmosphere of warmth, personal interest and positive emphasis, as well as a calm environment throughout the facility
- assist with other duties as assigned
