Job Requirements
- High school diploma or equivalent required
- minimum of 1-2 years of experience in a receptionist or administrative role
- experience in a corporate, finance, or manufacturing office setting preferred
- proficiency in Microsoft Office Suite
- strong verbal and written communication skills
- ability to multitask and prioritize workload effectively
- familiarity with Brivo or similar access control/security systems preferred
- basic design skills for creating internal content
- commitment to confidentiality and professionalism

- basic design skills (e.g., Canva, PowerPoint) for creating flyers and internal content
- experience using Viva Engage or similar communication tools preferred
- strong attention to detail and accuracy

- ability to maintain confidentiality and handle sensitive information appropriately
Job Duties
- Greet and assist all visitors, vendors, and employees in a friendly and professional manner
- coordinate with recruiter and HR generalist for NDAs
- welcome candidates and coordinate logistics for interviews, ensuring a positive and professional experience
- answer, screen, and direct phone calls
- manage front desk email correspondence
- maintain visitor logs and issue guest or temporary badges while following security protocols
- manage the Brivo access control system, including creating, updating, and deactivating employee and visitor badges
- oversee conference room scheduling and preparation
- ensure rooms are clean, organized, and properly equipped for meetings
- coordinate and manage catering orders for internal meetings, trainings, and events
- receive, sort, and distribute mail, packages, and deliveries to appropriate departments
- create and distribute internal communications such as flyers, posters, and announcements
- upload content to office monitors and Viva Engage to support company engagement
- assist with submitting and tracking employee reimbursements and other administrative paperwork
- maintain a clean, organized, and professional reception area, conference rooms, and common spaces at all times
- support internal engagement activities and assist with event logistics
- provide administrative support to the Finance, HR, and Operations teams as needed
- handle confidential or sensitive information with discretion and professionalism
