Job Requirements

  • High school diploma or equivalent
  • at least 1 year of relevant administrative or receptionist experience
  • ability to manage 150 calls daily
  • strong problem-solving abilities
  • detail-oriented approach
  • self-motivated and able to work independently
  • ability to maintain confidentiality of sensitive information
  • capable of multitasking in a fast-paced work environment
  • excellent organizational skills and time management
  • strong communication skills both verbal and written
  • proficiency in standard office software including Microsoft Office
  • familiarity with postal and shipping systems

Job Duties

  • Serve as the primary gatekeeper for all visitors including associates, vendors, delivery personnel, prospective associates, and guests
  • assist in ensuring all building access and enhanced health screening policies are followed
  • help maintain workplace security by issuing visitor badges and access cards and maintaining the visitor management system
  • perform routine administrative activities including answering telephones, taking messages, photocopying, operating office equipment and maintaining supplies
  • gather, compile, and verify information and enter data into documents and office systems
  • maintain equipment and prepare purchase orders for supplies
  • monitor, review, and approve standard expenditures within budget
  • communicate with external equipment suppliers to arrange service and repair
  • coordinate mail and delivery services including receiving, sorting, distributing, and preparing mail
  • assist in coordination of hiring processes and new associate onboarding
  • assist in hospitality and associate recognition events
  • respond to or redirect routine inquiries from internal and external sources
  • maintain a safe, clean, and professional lobby and reception area
  • participate in associate meetings and communicate concerns to management
