Job Requirements

  • Authorized to work in the U.S. without need for employment-based visa sponsorship now or in the future
  • ability to work full-time 8am to 5pm Monday through Friday and overtime as needed during seasonal deadlines
  • strong customer service skills
  • proficiency with Microsoft Word, Excel and Adobe PDF
  • ability to manage multiple administrative tasks efficiently
  • professional written and verbal communication skills
  • willingness to participate in cross-training and collaborate on projects

Job Qualifications

  • Solid 3 years or more of customer service and general office experience
  • managing phones, filing of paperwork, scanning, faxing, emailing documents, postal mail, etc.
  • professional appearance, demeanor and communications written and verbal
  • moderate to advanced knowledge of Word, Excel, and Adobe PDF
  • working knowledge of RightSignature and sending e-documents to clients by email
  • ability to work full-time 8am to 5pm Monday through Friday and overtime as needed during seasonal deadlines
  • strong comfort level with technology and learning new programs

Job Duties

  • Oversee the phones and transferring calls
  • manage client traffic
  • assist with billing, payment processing, A/R
  • coordinate shipping/receiving all packages through FedEx, UPS, courier service and regular mail, and distribute to employees
  • maintain cleanliness and orderliness of office and kitchen area including supplies
  • manage office supplies including daily restock and maintenance of coffee, drinks and snacks
  • participate in the cross-training of all admin functions across departments
  • collaborate with others on work on projects/tasks outside of their usual assignments
