Job Requirements
- Bachelor's degree
- minimum of two years' receptionist or executive assistant experience
- advanced Microsoft Office skills
- excellent interpersonal communication skills

Job Qualifications
- Bachelor's degree
- minimum of two years' experience working as a receptionist or executive assistant
- advanced knowledge of Microsoft Office including Outlook, Word, PowerPoint, Excel and Teams
- excellent interpersonal and communication skills
- proficiency in Microsoft Office, Adobe Acrobat, Teams, Webex, Zoom, Workday and Concur
- experience working in a global organization with dispersed teams
- project management experience
- customer service mindset
Job Duties
- Managing the reception desk
- point of contact for all visitors and vendors: register, greet, alert host
- general employee support
- arrange incoming/outgoing mail with various shipment services
- oversee meeting room bookings proactively resolving capacity issues
- reserve/set-up meeting rooms for executive and VIP meetings
- coordinate daily office catering for breakfast and lunch
- ensure deliveries are on time and check that orders received are correct
- troubleshooting catering issues as they arise
- handle expenses related to office catering
- arrange appropriate security access passes for staff and visitors
- conduct bi-weekly badge audits
- implement a safe and secure workplace by monitoring access and deactivating badges for leavers
- maintain office seating plan and employee roster
- keep inventory of supplies and snacks
- flag and track maintenance requests and repairs
- conduct frequent floor walks to ensure cleanliness standards
- assist with preparing and supporting high-level meetings including some out-of-hours work
- perform coffee/lunch runs for executives
- assist executives with errands, mailing/shipping documents and items
- maintain travel kits for executives
- gift wrapping and organizing supplies
- printing, label making, folder making
- managing contact cards
- take on projects based on interest and ability
- assist with booking restaurant reservations
- manage quarterly earnings binders
- handle executive expenses
- maintain list of employee work anniversaries and birthdays and coordinate celebrations
- assist with setting up for holidays and events
