Job Duties
- Serve as the first point of contact for visitors, providing a professional and welcoming experience
- Answer and direct incoming phone calls promptly and courteously
- Manage visitor sign-in and security protocols
- Coordinate incoming deliveries and distribute mail appropriately
- Coordinate office support services and assist the facility manager and coordinator with general facility efforts
- Monitor, stock, and place orders for office supplies at the 1600 location
- Manage mail sorting and delivery across all offices
- Handle transportation-related items such as parking punch passes, ATIP, and Eco Passes
- Order name plates and new hire giveaways (e.g., shirts, travel mugs, gift cards)
- Issue and deactivate key fobs for new and departing employees
- Oversee refrigerator clean-outs and general office tidiness
- Provide general administrative and clerical support including mailing, scanning, faxing, copying, and data entry
- Maintain both electronic and physical filing systems
- Perform word processing, create spreadsheets and presentations
- Conduct internet research and utilize various software tools to support team needs
- Ensure timely and accurate handling of documents and correspondence
- Lead the event/fun committee and coordinate monthly milestones (e.g., cookie orders, chalkboard updates)
- Organize happy hours, holiday celebrations (e.g., St. Patrick's Day, Administrator's Day), and larger company events such as the Admin/Ops picnic
- Support planning and execution of employee engagement activities and celebrations
