Job Requirements

Job Duties

  • Serve as the first point of contact for visitors, providing a professional and welcoming experience
  • Answer and direct incoming phone calls promptly and courteously
  • Manage visitor sign-in and security protocols
  • Coordinate incoming deliveries and distribute mail appropriately
  • Coordinate office support services and assist the facility manager and coordinator with general facility efforts
  • Monitor, stock, and place orders for office supplies at the 1600 location
  • Manage mail sorting and delivery across all offices
  • Handle transportation-related items such as parking punch passes, ATIP, and Eco Passes
  • Order name plates and new hire giveaways (e.g., shirts, travel mugs, gift cards)
  • Issue and deactivate key fobs for new and departing employees
  • Oversee refrigerator clean-outs and general office tidiness
  • Provide general administrative and clerical support including mailing, scanning, faxing, copying, and data entry
  • Maintain both electronic and physical filing systems
  • Perform word processing, create spreadsheets and presentations
  • Conduct internet research and utilize various software tools to support team needs
  • Ensure timely and accurate handling of documents and correspondence
  • Lead the event/fun committee and coordinate monthly milestones (e.g., cookie orders, chalkboard updates)
  • Organize happy hours, holiday celebrations (e.g., St. Patrick's Day, Administrator's Day), and larger company events such as the Admin/Ops picnic
  • Support planning and execution of employee engagement activities and celebrations
