Job Duties

  • Answer general phone inquiries using a professional and courteous manner
  • Direct phone inquiries to the appropriate staff members
  • Reply to general information requests with the accurate information
  • Greet clients, suppliers, visitors to the organization in a professional and friendly manner and alert employee who is being visited
  • Manage shipping and receiving
  • accept packages and send an email for any incoming packages, distribute mail to the appropriate person, coordinate shipping (pack, schedule)
  • Receive and distribute mail
  • Ensure the office is orderly and neat to always present a professional working environment
  • Provide parking validation, reconcile, and create a report for accounting
  • Ensure the conference room is in an orderly manner, ready to use (computers, projectors, cables, etc. are available as needed) and appropriately stocked with beverages
  • Resolve scheduling conflicts
  • Manage the building relationship by writing, distributing, and explaining building memos, requesting A/C overtime, etc.
  • Data entry as needed
