Job Requirements

  • High school diploma or equivalent
  • Prior experience in a receptionist or administrative role preferred
  • Excellent verbal and written communication skills
  • Ability to handle multiple phone lines and transfer calls professionally
  • Strong organizational skills and attention to detail
  • Proficiency with Microsoft Office applications
  • Familiarity with office equipment such as copiers and fax machines
  • Ability to maintain confidentiality and handle sensitive information with discretion

Job Duties

  • Answer and direct all incoming calls and voicemails with professionalism
  • Accurately take messages and route calls to the appropriate department
  • Maintain office supplies for all departments and ensure monthly orders are completed
  • Keep office equipment such as copiers and fax machines stocked with paper and toner
  • Sort and distribute all incoming mail, faxes, and packages
  • Process outgoing mail including FedEx, certified mail, and other special deliveries
  • Assist with maintaining and auditing personnel and I-9 files as directed
  • Support the office team with general clerical tasks as needed
