Job Requirements

  • Able to follow processes in detail and perform duties consistently and reliably
  • Ability to work in Microsoft Office applications including Outlook, Word, Excel, Teams, OneDrive, SharePoint with some training provided
  • Must be able to complete office work including typing, reading screens, processing information and handling sensitive or confidential information responsibly
  • Comfortable lifting up to 30lbs occasionally
  • Must agree to a pre-employment background check and drug screen excluding marijuana

Job Duties

  • Maintain the office environment by answering phones, greeting technicians and visitors, data input, filing and performing special projects
  • Act as initial point of contact for incoming calls
  • Answer questions, take messages and transfer phone calls in a professional, friendly manner
  • Provide information to potential clients and actively try to convert these callers to clients
  • Set-up new clients by email or phone by filling out common forms and entering data into the computer
  • Use computer programs such as Service Auto Pilot, WorkWave, Teams, WORD, EXCEL and other office software
  • Enter forms and tickets for client accounts
  • Check phone messages early morning
  • Greet technicians and co-workers warmly
  • Take credit card information and expiration dates (enter, but not charge)
  • Print, cut and distribute office forms
  • Perform light cleaning around the office
  • Assist in opening and/or closing the facility as needed
  • Work as part of a team and communicate with the Office Manager
  • Be self-motivated and able to work with minimal supervision
  • Handle special projects assigned by administrative staff
  • Help maintain and guard company culture and values
  • Listen to messages early morning
  • Try to answer phone within three rings
  • Manage high volume of calls
  • Keep outgoing calls minimal
  • Greet visitors, vendors, technicians, job applicants professionally
  • Offer beverages/bathroom to visitors
  • Relay complex billing questions to Office Manager
  • Relay concern calls to Customer Care
  • Relay phone messages using Teams
  • Enter potential clients as leads in SAP
  • Make four attempts to convert leads
  • Use preferred day list and WorkWave for service options
  • Complete forms, tickets and enter notes on client accounts
  • Send thank you and sympathy cards, and other correspondence
  • Maintain a clean and uncluttered receiving area
  • Perform weekly inventory and printing of office materials
  • Attend monthly company meetings
  • Participate in annual reviews and goal setting with Office Manager
  • Perform ongoing special projects as needed.
