Job Requirements

  • High school diploma or equivalent
  • Minimum of two years reception experience preferred
  • Notary Public or willingness to get Notary Certified
  • Proficiency in Microsoft Suite
  • Professional, reliable, punctual, and customer service oriented
  • Strong written and verbal communication skills
  • Strong knowledge of office procedures and practices
  • Ability to remain calm in emergency situations
  • Ability to work independently with minimal supervision
  • Attention to detail and commitment to excellence
  • Strong interpersonal skills
  • Strong interest in animal protection issues preferred

Job Qualifications

  • Minimum of two years reception experience preferred

Job Duties

  • Manages the reception area including greeting visitors, managing temporary fobs, notifying staff of guest’s arrival, scheduling trainings and meetings as requested
  • Manages visiting staff space requests and requirements including ensuring hoteling space availability, providing orientation and office supplies for visiting employees, adjusting for last-minute changes
  • Provides administrative support to staff, troubleshoots equipment, sets up conference rooms, coordinates catering and orders food, handles other staff requests
  • Uses building management ticketing system to schedule vendors, visiting employees, guests, maintain COIs within the COI system, schedules repairs and maintenance with building facilities
  • Acts as first point of contact and coordinates staff response to emergency situations including natural disasters, fires, threats, active shooters, and other operational threats
  • Performs other duties or responsibilities as assigned
