Job Requirements

  • High school diploma or general education degree (GED)
  • 1 or more years of related experience and/or training
  • computer literate and knowledgeable using Microsoft Office (Word, Excel or comparable software)
  • ability to consistently provide a high level of accurate work delivered in a timely manner
  • ability to prioritize work assignments
  • ability to identify and respond to customer needs in a courteous manner
  • ability to communicate clearly and concisely in writing
  • knowledge of clerical and administrative procedures

Job Duties

  • Answers phone calls and checks voice messages
  • responds to callers' or guests' questions as appropriate
  • takes thorough messages with prompt communication to staff
  • assists visitors, residents, and contractors entering the Management Office
  • enters maintenance requests and assigns tickets as appropriate
  • types memos, correspondence, reports, and other documents as requested
  • copies, scans, emails and faxes documents as needed
  • performs electronic and hardcopy filing
  • walks multiple buildings to post and/or deliver documents if needed
  • programs and reprograms key fobs and vestibule phones
  • creates and installs directory strips if needed
  • updates and uploads documents to the Association website
  • ensures checklist for ABMs is complete before forwarding to Property Manager
  • logs in homeowner pest control requests
  • programs robocall, email and text messages using OneCall
  • performs other duties as assigned
