Job Requirements
- High school diploma or equivalent
- Proven work experience as a receptionist, front office representative, or similar role
- Proficiency in Google Suites, Microsoft Office
- Experience using a CRM database such as Salesforce
- Hands-on experience with office equipment (e.g. fax machines and printers)
- Professional attitude and appearance
- Excellent written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
- Multitasking and time-management skills, with the ability to prioritize tasks
- Good customer service attitude
- Must be able to work five days onsite at NAZ Main Office located in Minneapolis, MN
- Ability to walk up and down stairs, lift, sit, and bend frequently
- Able to operate office machines such as computer, copier, and fax regularly
- Willingness to work occasional evenings and weekends for special events
- Limited travel may be required

Job Duties
- Greet and welcome guests as soon as they arrive at the office
- Direct visitors to the appropriate person and/or office
- Receive, sort, and distribute (or notify) packages and mail for both incoming and outgoing shipments
- Assist with the distribution of resources to families and NAZ participants
- Answer, screen, and forward incoming phone calls
- Ensure the reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms, and brochures)
- Assist with building security by accessing the alarm system and reviewing camera footage as needed to support safety procedures and incident resolution
- Update calendars and schedule meetings for staff
- Provide accurate information via email or phone
- Direct general inquiries via email or phone to the appropriate staff or department
- Assist with maintaining updated contact lists and organizing digital files as requested
- Help coordinate meetings/events by sending calendar invites or preparing meeting materials and set up
- Support basic correspondence by drafting simple emails or acknowledgment letters as directed
- Assist with travel arrangements by compiling registration details, printing itineraries, or assembling supporting materials as directed
- Assist with short-term projects as directed
- Assist with the recruiting process, including posting job ads on job boards, coordinating candidate communications, and organizing interview schedules
- Assist with onboarding and orientation materials
- Handle general employee inquiries
- Handle HR documentation and employee records with sensitivity
- Assist with the planning of staff events
- Support other HR projects and initiatives
- Support the processing of financial and in-kind donations, including updates in the development database (Salesforce) to ensure contacts are properly moved through development process and gifts are recorded appropriately
- Support gift acknowledgement process, producing donor letters and receipts on a weekly basis for review
- Print, secure necessary signatures, and mail acknowledgment correspondence
- Conduct regular database updates (including address/email clean, event attendance, de-duping, erroneous entries, etc)
- Distribute other Development correspondence (i.e. pledge reminders) as directed
- Organize digital Development files on the shared drive
- Provide support for the annual SOARNORTH Gala, including guest registration and data entry
- Attend weekly Development team meetings as needed
- Provide administrative support for Development team as needed
