Job Requirements
- High school diploma or equivalent
- One year of receptionist or office administrative experience preferred
- Collaboration skills to work with Facilities supervisor
- Ability to manage office supplies and equipment
- Proficiency in Microsoft Office and Google Suite applications
- Well organized with good multitasking abilities
- Strong customer service orientation
- Ability to communicate effectively both over the phone and in person
- Ability to handle pressure and fast-paced work
- Punctuality
- Physical ability to lift and move items up to 30 pounds
- Regular attendance
- Willingness to learn and demonstrate proactivity
Job Qualifications
- High school diploma or equivalent
- One year of receptionist or office administrative assistance experience preferred
- Extensive computer knowledge including Microsoft Office, Google applications and internet usage
- Strong customer service skills
- Good written and verbal communication skills
- Ability to multitask and work effectively in a team environment
- Ability to handle pressure and maintain professionalism in a fast-paced environment
- Preferred experience in contracting or construction fields
- Demonstrated punctuality and reliability
- Strong organizational skills
- Ability to use handheld device applications
Job Duties
- Document control including new hire, personnel files, training logs, certificates and other documentation
- Maintaining Google Sheets and Excel workbooks
- Cross-training to assist and backup administrative tasks
- Creating, editing, sorting, and assembling project-specific folders and documents
- Sending and receiving correspondence via mail and courier services including USPS, UPS, Federal Express and messenger
- Managing office printing and external printing orders with ACCO service vendors
- Assisting with travel arrangements for the department
- Scheduling meeting spaces and preparing meetings including ordering lunches and other necessary preparations
- Assisting with client lunches, learns, presentation preparation and marketing events
- Onboarding new hires including ordering business cards, uniforms, and supplies
- Performing word-processing, general correspondence, office memos and notifications
- Greeting office visitors and answering incoming telephone calls as the department's first impression
- Directing visitors and callers professionally and managing receptionist duties
- Forwarding phone calls appropriately within the Commerce office and to after-hours on-call service agency
- Acting as liaison with Facilities for building maintenance and supplies management
