Job Requirements

  • High school diploma or equivalent
  • Experience operating a multi-line phone system
  • Ability to manage multiple tasks simultaneously
  • Good interpersonal and communication skills
  • Basic computer skills including Microsoft Office
  • Experience in a nonprofit or multicultural setting preferred
  • Ability to speak a second language is a plus
  • Strong problem-solving abilities
  • Ability to work on-site with occasional after-hours meetings
  • Capability to handle sensitive or potentially traumatic information
  • Physical ability to perform tasks including lifting up to 30 pounds
  • Commitment to the organization’s mission and values

Job Qualifications

  • High school education
  • Comfort and proficiency with operating a multi-line phone system
  • Strong organizational skills and ability to handle multiple tasks simultaneously
  • Friendly, approachable demeanor with a commitment to exceptional customer service
  • Basic proficiency in Microsoft Office Suite (Word, Excel, Outlook) or similar software
  • Experience working in a multicultural or nonprofit environment
  • Ability to speak a second language is a plus but not required
  • Strong problem-solving skills and attention to detail

Job Duties

  • Greet and receive clients, partners, visitors, and the general public in the reception area and over the telephone
  • Assist clients with their requests
  • Announce clients and visitors to the appropriate staff
  • Transfer telephone calls to staff and/or voicemail as directed
  • Professionally manage incoming telephone calls, ensuring they are promptly directed to the appropriate staff member or program
  • Receive, sort, and distribute incoming mail and packages to the appropriate staff or department on the same day
  • Administer bus passes and ensure accurate tracking or record-keeping
  • Provide support to clients in completing service request forms and other paperwork
  • Serve as backup for other reception or administrative duties across the agency as needed
  • Undertake additional tasks as directed to support the agency's mission and operations
