Job Requirements
- Associate's degree or equivalent from a two-year college or technical school
- Six months to one year of related experience and/or training
- Proficiency in Microsoft Office Suite (Word, Excel), Internet applications
- Strong verbal and written communication skills
- Ability to read and interpret documents such as safety rules, operating instructions, and procedural manuals
- Problem-solving skills
- Familiarity with mathematical concepts such as fractions, percentages, ratios, and basic geometry

- Experience in front desk operations including switchboard management and visitor reception
- Skilled in handling mail logistics and shipping procedures (UPS, FedEx)
- Demonstrated discretion and professionalism in handling confidential information
Job Duties
- Answer the switchboard and greet visitors with professionalism and courtesy
- Open, stamp, distribute, and copy incoming mail as needed
- Prepare and manage outgoing mail, including UPS and FedEx shipments
- Maintain job files, purchase orders, and accounts payable (A/P) files, including filing duties
- Process accounts payable by matching, processing, coding, and data entry
- Prepare A/P checks for mailing and organize A/P invoices for filing after payment
- Maintain records of accounts payable and prepare weekly timesheets for payroll processing
- Maximize office productivity by utilizing appropriate software applications
- Maintain contact with customers and vendors, ensuring smooth communication
- Keep accurate records of vendor Form W-9s and Certificates of Insurance
- Manage office equipment inventory, leases, and maintenance schedules
- Schedule and monitor office janitorial services and maintain adequate supplies
- Promote a harmonious and teamwork-oriented atmosphere with coworkers
- Research and develop resources to create efficient workflow processes
- Type letters, reports, and forms and establish uniform correspondence procedures
- Produce regular activity documentation to aid executive decision-making
- Perform special projects as directed
