Job Requirements

  • High school diploma or equivalent
  • Two years of professional office administrative or receptionist experience preferably with an architectural, engineering and consulting (A/E/C) firm
  • Dependability, punctuality, excellent verbal and written communication skills
  • Strong interpersonal skills
  • Exceptional customer service and organizational skills
  • Attention to detail and a can-do attitude
  • Ability to multitask and thrive in a fast-paced environment
  • Comfortable using Microsoft Office products including Word, Outlook, and Excel
  • Experience working with and maintaining sensitive and confidential information
  • Valid driver's license
  • Ability to pass a pre-employment background check

Job Duties

  • Answer a multi-line telephone system, including screening and directing calls as appropriate
  • Greet office staff and visitors in a professional, friendly and hospitable manner
  • Maintain all common areas, including office kitchens and conference rooms, ensuring spaces are well-kept
  • Maintain fleet vehicle keys and first aid kits with the assistance from the Fleet Manager
  • Copy, fax, file, and scan documents using appropriate office equipment as needed
  • Schedule meetings for Executive Management Committee members and Senior Management as needed
  • Manage all incoming and out-going mail and packages, including sorting, packaging, metering, shipping and receiving parcels via USPS, UPS and FedEx
