Job Requirements

  • High School Diploma or equivalent
  • 1-3 years prior work experience
  • Ability to work assigned hours as determined by the manager
  • Excellent organizational and time management skills
  • Analytical abilities and problem-solving aptitude
  • Superb written and verbal English communication skills
  • Strong task-driven personality focused on customer satisfaction
  • Ability to multi-task and prioritize tasks and customer needs
  • Knowledge or ability to learn computer-based systems such as multi-phone line systems, PC/Mac, MS Office, multifunctional devices, fax, and mail machines
  • Required to maintain an overall professional appearance and attitude
  • Adherence to all policies and procedures

Job Qualifications

  • High School Diploma or equivalent
  • 1-3 years of prior administrative, reception, or concierge experience preferred
  • Excellent organizational and time management skills
  • Superb written and verbal English communication skills
  • Analytical and problem-solving abilities
  • Strong customer service and professional attitude
  • Ability to multi-task and prioritize effectively
  • Familiarity with multi-phone line systems, PC/Mac, MS Office, and multifunctional devices
  • Maintains a professional appearance and demeanor
  • Adheres to company policies and procedures

Job Duties

  • Provides 5-star customer service to all employees and visitors
  • Answers incoming telephone calls and routes callers to the appropriate person
  • Ensures all visitors complete and understand the Nondisclosure Agreement
  • Logs visitors into the registration system
  • Activates temporary access badges
  • Issues facility access cards to employees
  • Answers and routes global calls professionally
  • Prioritizes calls and escalates issues to the proper chain of command
  • Maintains and updates phone and speed dial lists
  • Trains a back-up receptionist
  • Notifies employees of inbound deliveries and directs shipments to the Mail Room
  • Provides light administrative support such as scheduling meeting rooms and ordering catering
  • Follows up on loaned access cards
  • Builds professional relationships with customers and teams
  • Maintains a neat reception area
  • Services and replenishes pantry and meeting areas
  • Performs meeting room set-ups
  • Monitors and orders office supplies
  • Assists with copy/print orders and equipment maintenance
  • Maintains professionalism and composure
  • Provides back-office coverage when needed
  • Proactively seeks additional work during downtime
