Job Requirements

  • High school diploma or equivalent
  • prior administrative or receptionist experience preferred
  • ability to use MS Office 2021 or later, especially Excel and Word
  • strong communication and interpersonal skills
  • ability to multitask and prioritize effectively
  • capacity to learn and adapt to new software
  • reliable and professional demeanor
  • availability to work Monday to Friday 8:30 am to 5 pm, with flexibility for occasional evenings or weekends as needed

Job Duties

  • Receive and distribute mail
  • ensure proper postage for outgoing mail
  • monitor fax reports
  • scan and send to appropriate department or staff within timely manner
  • act as the greeter for clients and provide direction and assistance
  • manage incoming phone calls and address requests or redirect calls as necessary
  • prepare, distribute, and cover phone messages during administrative associate breaks
  • monitor and distribute association election ballots
  • close annual reports to relevant parties
  • generate FedEx request reports and submit to accounting
  • manage office supplies and inventory
  • collaborate with executive assistant to organize events and maintain office common areas
  • train and mentor employees on office procedures and equipment
