Job Requirements
- High school diploma or equivalent
- Proven track record in a similar administrative or front desk position
- Basic computer literacy including Microsoft Word and Excel
- Ability to type at least 40 words per minute
- Strong verbal and written English communication skills
- Ability to follow written and oral instructions
- Capability to handle emergency situations calmly and efficiently
- Physical ability to stand, sit, bend, stoop, lift up to 20 pounds and push up to 40 pounds
- Ability to maintain mental alertness and concentration for extended periods
- Availability to work scheduled shifts including Thursdays through Saturdays, 9am to 5:30pm
- Willingness to work overtime and holidays when required
- Familiarity with front desk office equipment such as telephone, fax, and copier
- Ability to adapt to changing work environments
- Commitment to maintaining confidentiality and professional conduct
Job Qualifications
- High school diploma or equivalent
- Previous experience in a similar front desk or administrative role preferred
- Excellent communication skills both verbal and written
- Ability to effectively interact with elderly residents and memory-impaired individuals
- Basic computer skills including proficiency with Word and Excel
- Ability to type at least 40 words per minute
- Familiarity with telephone, fax machine, copy machine and other office equipment
- Strong organizational and multitasking abilities
- Ability to maintain confidentiality and respect residents' rights
- Positive attitude and team-oriented mindset
- Valid First Aid Certification may be required
Job Duties
- Support the mission, vision, and culture of the organization through positive communication
- Contribute to community relationships by demonstrating cooperation and professional conduct with residents, families, fellow associates, physicians, pharmacies and other vendors or persons
- Contribute to team effort by being flexible in work assignments, by furnishing support, by taking initiative, and by understanding how this position affects and complements all other community positions
- Maintain work pace appropriate to given workload and perform activities on schedule while maintaining regular attendance and punctuality
- Answer phones, take messages and transfer calls
- Greet and receive guests in a professional and friendly manner with a focus on maintaining the security of the community for the safety of memory impaired residents
- Maintain daily resident log and resident emergency information
- Assist with weekly packet preparation
- Answer emergency responder and fire alarm systems and take appropriate emergency steps
- Schedule residents' doctor appointments and activities
- Make copies
- Provide information to bookkeeping for billing
- Give directions and disseminate information as directed
- Distribute written communiques
- Accept and sign for deliveries (mail, prescriptions, etc.)
- Coordinate guest room reservations
- Respond appropriately to changes in the work setting
- Perform other related assignments as required
- May accept money for store purchases, meal tickets, etc.
- Be familiar with Carefield Living Policies & Procedures Manual and Carefield Living Staff Handbook
- Act on constructive feedback by listening to supervisors, customers and peers and use it to improve performance
- Maintain resident, employee, and community confidentiality
- Respect resident's rights
- Demonstrate positive attitude and ability to work well with all people, particularly the elderly
- Promote positive work environment that emphasizes teamwork
- Demonstrate willingness to help other staff whenever needed
- Follow all front desk policies concerning tracking of residents
