Job Requirements

  • High School Diploma or equivalent
  • 2 years of professional office administrative/receptionist experience preferably with an architectural, engineering and consulting firm(s)

  • ability to pass a pre-employment background check

Job Duties

  • Answer a multi-line telephone system, including screening and directing calls as appropriate
  • greet office staff and visitors in a professional, friendly and hospitable manner
  • maintain all common areas, including office kitchens and conference rooms, ensuring spaces are well-kept
  • maintain fleet vehicle keys and first aid kits with assistance from the Fleet Manager
  • copy, fax, file, and scan documents using appropriate office equipment as needed
  • schedule meetings for Executive Management Committee members and Senior Management as needed
  • manage all incoming and out-going mail and packages, including sorting, packaging, metering, shipping and receiving parcels via USPS, UPS and FedEx
  • help maintain corporate email and voicemail boxes
  • perform data entry tasks
  • maintain office supplies and equipment inventory, including ordering supplies as needed
  • coordinate catering orders for in-house meetings/events, pick up supplies at the local grocery store as needed or directed
  • perform other tasks and administrative duties as assigned
