Job Requirements

  • High school diploma or GED
  • At least 1 year of related work experience preferred
  • Must pass skills test
  • Knowledge of office practices and procedures
  • Knowledge of principles of customer service
  • Skilled in Word processing, Excel and other computer applications
  • Service orientation and time-management skills
  • Practice good judgment and initiative
  • Effective oral and written communication skills

Job Duties

  • Answer incoming calls and direct to an appropriate department or program
  • Acknowledge visitors, determine needs and process accordingly (visitor sign in/pass and notify staff)
  • Mail handling including outgoing postal mail and distribution of incoming postal mail, packages and interoffice correspondence
  • Perform basic clerical duties such as filing, typing, copying, collating, faxing
  • Maintain visitor log
  • Operate a variety of office equipment including scan, copy, fax and postage meter
  • Inventory office supplies and notify supervisor of low stock
  • Manage main conference room calendar and handle requests for usage
  • Assist with ordering stationery and business cards
  • Arrange reception coverage as needed during lunch and other absences
  • Maintain order of reception area and restock literature
  • Assist with special projects for Executive Office, HR, Development and Marketing departments such as assembling marketing materials and preparation for mailings
