Job Requirements

  • High school diploma or equivalent
  • Prior experience in an administrative or receptionist role preferred
  • Ability to communicate effectively both verbally and in writing
  • Strong organizational skills and attention to detail
  • Ability to maintain confidentiality
  • Proficiency with multi-line phone systems and office software
  • Availability to work part-time during weekends from 4pm to 8pm on Saturday and Sunday

Job Duties

  • Greet visitors and prospective candidates in a warm and pleasant manner
  • Deal tactfully with personnel, residents, family members, visitors and government agencies
  • Answer incoming calls on a multi-line system professionally and direct callers appropriately
  • Maintain confidentiality when discussing resident information
  • Provide information such as facility address, directions, fax number, and website
  • Receive and disburse mail daily including forwarding resident mail
  • Deliver mail and packages within the facility
  • Conduct and post resident trust transactions and file receipts
  • Conduct sale of guest meals and deliver menus to the dietary department
  • Assist with clerical duties such as photocopying, faxing, filing and assembling marketing materials
  • Verify and assemble new hire packets as needed
  • Assist with admission materials
  • Serve as liaison between residents and support staff including maintenance, admissions, and nursing
  • Perform all other duties as assigned
