Job Requirements
- Must possess and maintain an eligible ACHA background screening status
- must be able to make independent decisions and stay calm in emergency situations
- must be knowledgeable of HIPAA privacy practices and confidentiality guidelines
- must be able to type at least 30 words per minute and operate office equipment such as copiers, fax machines, and multi-line telephone systems
- must have working knowledge of long-term care facility regulations
- must treat residents, employees, and visitors with respect and dignity
- must have the ability to cope with mental and emotional stresses of the position
- must be physically capable of moving intermittently throughout the day and lifting a minimum of 35 lbs
- must maintain quality of service as required by the facility
- must be able to work beyond normal hours including weekends, holidays, and during emergencies
- must be fluent in English
- must have a cheerful and cooperative attitude
- must follow safety procedures and report hazardous conditions immediately
- must maintain confidentiality and protect all resident rights
- must participate in required training and educational programs.
Job Qualifications
- Possess a minimum 12th grade education or equivalent
- have at least two months experience in a clerical position or completed a secretarial science program from an accredited school/college
- able to read, write, speak, and understand English
- able to type a minimum of 30 words per minute
- proficient in operating computers, office equipment, multi-line telephone systems, copy machines, and fax machines
- knowledgeable of administrative practices, procedures, and HIPAA privacy guidelines
- able to make independent decisions and remain calm during emergencies
- possess tact and ability to deal with personnel, residents, families, visitors, and the public
- able to follow oral and written instructions
- working knowledge and understanding of regulations governing long-term care facilities
- genuine interest and concern for working with the elderly
- pleasant speaking voice
- ability to work harmoniously within a team environment
- maintain confidentiality and respect resident rights.
Job Duties
- Operate paging/telephone system as required
- answer telephones, determine nature of call and direct caller to appropriate individual or department
- receive requests from within facility and locate personnel through paging system
- receive inquiries and release information in accordance with established policies and procedures
- maintain a current file/listing of residents by name and room number, emergency phone numbers of on-call personnel, department extensions, key personnel, etc.
- greet visitors and direct to appropriate office and/or resident room
- give directions/information to visitors, guests, residents, sales representatives, etc.
- ensure that visitors sign in and out
- offer beverages to visitors waiting for administrative personnel
- monitor presence and location of sales representatives and outside service providers
- ensure all guests/visitors abide by rules and refuse admission as directed
- notify supervisor or administrator of any visitor or service provider issues
- report suspicious persons/information immediately
- assist with administrative duties including typing and filing
- receive and distribute mail
- prepare outgoing mail including FEDEX and USPS
- operate copier, office machines, stamp/mail machines
- operate computer as directed
- maintain confidentiality of resident and facility information
- prepare resident identification armbands and door tags
- assist with human resource functions as needed
- know and implement emergency and disaster procedures
- receive payments on accounts and issue receipts
- manage resident trust account funds and maintain receipts
- schedule hair appointments and maintain logs
- assist department directors with typing reports and correspondence
- perform other related duties as necessary.
