Job Requirements
- High school diploma or GED
- minimum two years of relevant administrative or operational experience
- proficiency with Microsoft Office Suite and related software
- excellent organizational and multitasking abilities
- strong verbal and written communication skills
- ability to handle confidential information with discretion
- ability to work flexible hours including evenings and weekends
- physical ability to sit, stand, walk, and occasionally lift up to 25 pounds
- valid driver’s license
- ability to maintain a professional appearance and demeanor
Job Qualifications
- High school diploma or GED
- two years of administrative or operational support experience preferably in public safety or venue operations
- knowledge of safety, security, and transportation protocols
- strong organizational and administrative skills
- ability to prepare clear reports and documentation
- proficiency with spreadsheets, databases, and word processing software
- ability to work under pressure and meet deadlines
- excellent communication and interpersonal skills
- ability to maintain confidentiality

- proficiency in Microsoft Office Suite including SharePoint
- familiarity with safety reporting and incident management systems preferred

- fluency in English, Spanish preferred
Job Duties
- Answer and route incoming calls
- greet visitors and assist with inquiries
- maintain a professional front desk environment
- process visitor access requests and issue temporary passes
- log guest and vendor activity
- receive, sort, and distribute mail, deliveries, and messages
- assist with scheduling tasks such as roster distribution, meeting coordination, and calendar updates
- prepare and route correspondence and internal communications
- organize and maintain departmental records including SOPs, post orders, incident logs, and training files
- ensure proper document formatting, version control, and filing accuracy
- perform accurate data entry for operational and compliance documentation
- assist with maintaining OSHA-required documentation including injury and illness logs
- support preparation of operational and safety reports and dashboards
- provide administrative support during major events and inspections
- assist with procurement and vendor coordination including purchase orders and invoices
- coordinate routine communication with internal departments and external partners
- maintain confidentiality and handle sensitive records appropriately
- perform additional administrative duties to support departmental functions
